How do I view tasks assigned to me?

Keeping on top of tasks is easy with Ocasta. Whether you’re using the web platform or the mobile app, you can quickly see what’s assigned to you, what’s due soon, and what’s already been completed.

This guide explains where to find your tasks, how to update their status, and how email and push notifications can help you stay on track.


How to view tasks assigned to you on the web

On the web platform, go to the Home page and locate the Tasks section. Here you’ll see your open tasks.

(Depending on how your system is set up, you may also see a Tasks page in the navigation, which takes you to the same place.)

If a task has a due date, you’ll see how much time is left to complete it.

To see more details, click on a task. This will show additional information such as the description, due date, notes, and any attached images.

From here, you can update the task status to:

  • To-do
  • In Progress
  • Blocked
  • Completed
  • Re-open a closed task

You can also leave a comment on a task. For example, you might want to ask a question or highlight a blocker that is slowing progress. Anyone with permission to view the task can also leave comments.

Once a task is marked as Completed, it will move to your closed tasks list.

To see your full list of tasks, click My Tasks in the Tasks section on the Home page. This takes you to the Tasks page, where you can:

  • Manage tasks in more detail
  • Filter between open and closed tasks

(You can also access this page from the Tasks option in the navigation and selecting the My Tasks quick filter, if your organisation has this enabled.)


How to view tasks assigned to you in the app

In the app, you’ll find the Tasks section on the Home page, with tasks listed in order of their due date.

If your organisation uses multiple Ocasta hubs, you might see a lighter version of this section that only shows the number of open tasks.

If your organisation uses the Knowledge and Learning hub or the Comms and Engagement hub, your tasks will also appear on the You page.


If a task has a due date, you’ll see a countdown showing how much time is left to complete it.

To view more details, tap on a task. You’ll see the description, due date, and any additional notes.

From here, you can change the status to:

  • To-do
  • In Progress
  • Blocked
  • Completed
  • Re-open a closed task

You can also add a comment. For example, if you re-open a task, you might want to explain why. Anyone with access to the task can also leave comments.

From the Home page, tap My Tasks to go to the Tasks page, or use the Tasks icon in the bottom navigation.

On the Tasks page, you can:

  • Tap the filter icon in the top-right corner and make sure My Tasks is selected
  • Filter to view open or closed tasks
  • Sort tasks by due date or creation date
  • Switch to the Created by Me filter to see tasks you’ve created, track their progress, and check whether they’ve been completed

Email and push notifications for task assignments

If your organisation has task assignment emails and push notifications enabled, you’ll receive an email whenever a task is assigned to you.

You’ll also get a push notification when a new task is assigned, so you can see what needs doing straight away.

Simply click the link in the email or tap the notification to open the task directly.
