What are Kudos Rewards?

Kudos Rewards is an optional add-on for Ocasta Engage that allows you to assign teams a budget for giving recognition (Kudos) paired with a monetary reward. Employees can then redeem these rewards at multiple retailers.

Getting started with Kudos Rewards

To begin using Kudos Rewards, you'll first need to decide which roles within your organisation should have access to reward-related features. You can assign permissions to existing roles or create new ones, depending on your needs.

There are three types of permission available. A role can have any combination of these:

  1. Audit

    • Allows users to view the rewards transaction log.

    • This log is accessible via the Manage page on the web.

  2. Manage

    • Enables users to create reward budgets.

    • Users can assign budget holders to specific budgets and archive budgets when they are no longer needed.

  3. Budget Holder

    • Allows users to give out rewards along with Kudos messages.

    • They can only issue rewards from the budget they've been assigned to.

In addition, there is a separate permission called:

  1. Kudos Bulk Handout

    • Gives users the ability to upload a CSV file containing a list of recipients and the corresponding reward values.

    • This is useful for distributing multiple rewards efficiently at once.


How to create a Budget

  1. Make sure you have Manage permissions (see above for details) to allow you to create a budget..

  2. Go to the Manage page on the web.

  3. From the menu, select Budgets. This will take you to a list of all active budgets.

  1. In the top right corner, click the Create Budget button.

  2. Enter a unique name for your budget. Duplicate names are not allowed.

  3. Add a brief description. This is optional.

  4. Enter a starting balance for your budget. You can top it up later if needed.

  5. Click Create to finish.

Your new budget will now appear on the Active Budgets page.

How to add Budget Holders to a Budget

  1. Ensure the user you want to assign has Budget Holder permission. Without it, they cannot be added to a specific budget.

  2. On the web, go to the Manage page.

  3. From the menu, select Budget Holders.

  4. You’ll be taken to a list of all current budget holders and their assigned budgets. Use the filters at the top to search for a specific budget or user if needed.

  5. Click Add Budget Holder in the top right corner.

  6. In the pop-up window, start by selecting the budget. Begin typing the budget name and select it from the list.

  7. Next, select the user you want to assign to the budget. Start typing their name and choose them from the list.

  8. If the user is already assigned to a different budget, you’ll receive a warning — a Budget Holder can only be assigned to one budget at a time.

  9. Select Add to Budget. Once assigned, the user will be able to issue rewards from that specific budget only.

How to remove Budget Holders from a Budget

  1. On the web, go to the Manage page.

  2. From the menu, select Budget Holders.

  3. You’ll be taken to a list of all current budget holders and their assigned budgets.

How to Archive a Budget

  1. On the web, go to the Manage page.

  2. Select Budgets.

  3. Choose the budget you would like to archive.

  4. In the top right-hand corner, click the Archive button.

  5. A confirmation prompt will appear — confirm to proceed.

  6. Once archived, the budget will appear in the Archived tab of the Budgets list page.

  7. Please note: Archived budgets cannot be reactivated.

  8. You can still view handout history and download data as a CSV for archived budgets.


How to hand out a Reward

After budgets are created and budget holders have been assigned, rewards can be handed out. Budget Holders or Reward Managers can attach a reward when giving Kudos.

  1. Go to the You page and, in the Kudos section, select Give Kudos.

  2. Just like sending a regular Kudos, select a recipient and choose the type of Kudos you want to send.

  3. Enter your Kudos message.

  4. Budget Holders will see a checkbox to attach a reward. Check this box to reveal more options.

  5. Select the budget from which the reward will be given.

    • Budget Holders will only see the budget they’re assigned to.

    • Reward Managers can select from any budget.

  6. Enter the amount you want to award.

  7. Review all details, then click Send to hand out the Kudos and reward.

If you need to hand out multiple rewards, you can save time by using the bulk rewards option. Simply upload a CSV file with a list of usernames and their corresponding reward values for a faster, more efficient process. Find out how here.

How to view budget handout history

If you're a budget holder, you can view your budget details on the You page. At a glance, you'll see your remaining balance.

To access more details, click See All. This will show a breakdown of rewards handed out during the selected time period — including who gave them, who received them, and the amount.

You can also download this data as a CSV file if needed.

How to View the Rewards Transaction Log (for Rewards Managers)

If you're a rewards manager, you have access to the Rewards Transaction Log, which shows all rewards handed out across all budgets.

To access it:

  1. Go to the Manage page.

  2. In the Budgets section, select Rewards Transaction Log.

You'll see a list of all rewards handed out for the selected time period. Use the filters at the top to refine the list — by budget, action type, or who issued the reward.


How do I know if I’ve received a reward?

On the You page and on the home page, you can easily see if you’ve received any new Kudos. New Kudos will appear in your list as a mystery kudos.

Select the mystery kudos to open it, and you’ll see:

  • The kudos message

  • Who sent you the kudos

  • Whether you’ve also received a reward

If you have received a reward, your rewards balance will automatically increase.

How can I view my rewards budget?

You can view your rewards budget on the You page. There will be a section called Rewards.

Select your balance to view your rewards history, which details:

  • Rewards you’ve received

  • Rewards you’ve redeemed

You can filter the history by a selected time period.

How do I redeem my rewards?

Depending on which redemption partner your organisation uses — Tillo or Tremendous — the redemption process will differ slightly.

Tillo Redemption Journey

On the You page under the Rewards section, if you have a balance, you’ll see a Redeem option, if redemption is turned on for your organisation.

Select Redeem, and you’ll be guided through the following steps:

  1. Choose a retailer you’d like to purchase a gift card from

  2. Enter the amount you’d like to redeem

  3. Purchase the gift card

Once you’ve completed the purchase, you can:

  • View the gift card immediately

  • Or access it later in the Gift Cards section under Rewards on the You page

Tremendous Redemption Journey

On the You page, under the Rewards section, if you have a balance, you’ll see a Redeem option.

  1. Select Redeem and follow these steps:

    • Enter the amount you want to redeem (you can’t redeem more than your current balance. The amount will always display in GBP but it will show an estimate of the amount in your local currency.)

    • Select Redeem

    • Once completed, select View Order
      This will open a rewards link where you can choose your reward.
