How Can I Use the Timeline Report to Understand Review Patterns and Performance Trends?

The Timeline Report provides a comprehensive view of reviews over time, offering a visual representation of when reviews were performed and their score. This feature helps you identify patterns in review frequency, enabling you to spot trends, address areas needing improvement, and recognise areas of excellence within your organisation.

How To Access the Timeline Report:

  1. Login to your workspace on the web.

  2. Once logged in, navigate to the Analytics section in the top navigation bar.

  3. If not already open, expand the side menu and select the Timeline report under the Review section.

  4. You need to select a Review Type first to see the report.

  5. There must be less than 500 subjects to see the timeline. Adjust your Subject filter if you see this message..

Understanding the Timeline Report

Review Metrics Overview: The first section provides an overview of key review metrics based on the filters you have applied.

  • Total Reviews - The total number of Reviews that have been carried out during the selected date range, for the subjects listed.

Review Timeline Visual

Below the metrics overview, you'll find a table that shows a list of subjects that have had the Reviews done on them at least once in the selected date range (default 28 days). Each date a subject has had the Review done on them will be represented by a coloured tile. This allows you to:

  • See the frequency of reviews for each subject (location or person).

  • Observe the trend in review scores over time.

The coloured tiles in the table indicate performance levels, with a colour scale ranging from green (good) to red (poor). This visual representation helps you quickly identify subjects that need attention or require more frequent reviews.

Hover over a tile to see the actual review score, and click on this to view the full review. If more than one Review has been conducted on the same day this will be indicated with a number in the tile, eachscore can then be clicked on to see the full Review.

Filtering Options

To refine your results, you can use the filtering options available above the table.

Review Type:

  • Select a Review Type to display the report.

Subject:

  • If you're viewing a location-based review and have access to multiple locations, you can filter by region or specify a particular location. If you don’t have permission to view multiple locations, you'll only see reviews from your own location.

  • Similarly, for person-based reviews, if you have access to view multiple locations, you can choose to view reviews by location & region or by person (name).

Date Range:

  • By default it will be set to the last 28 days. You can select an alternative predefined range or enter a custom date range.

  • Click through to view previous months.

Submitted By:

  • You can filter to view Reviews submitted by a particular person. Start typing their name in the box or search for their name in the dropdown list.

Sorting Options

For the Timeline report, you can sort the timeline by:

  • Subject A-Z: Arrange subjects alphabetically, whether it's locations or persons.

  • Number of Reviews: Sort from subjects with the fewest reviews to the most reviews.

Review Frequency: Located in the top right corner of the table.

  • Daily: Shows one month at a time (default option).

  • Weekly: Displays three months at a time for a quarterly view.

  • Monthly: Presents an entire year at a time for a yearly overview.

This feature allows you to customise the time period for reviewing data, letting you easily switch between daily, weekly, and monthly views. For longer-term reviews, the weekly and monthly views are more useful, while daily reviews benefit from the daily view.

Exporting Data

If you need to share or analyse the review data outside of the platform, you can export the data as CSV.

  1. Apply any filters as needed.

  2. Locate the download icon positioned in the top right corner of the page, next to the share options.

  3. Click the download icon and the CSV will begin to download.

The CSV export will include the following details

  • Subject of each review (Locatio n or Person)

  • Who submitted each review & time spent

  • The location of the submitter

  • Completion date of each Review
